Enter Bills

 
 
 
Bills for a vehicle can be entered in one of two places in the accounting module depending on your access level and status of the vehicle.
Vehicle Inventory or Vehicle Vehicle Status.
 
 
 
 
 
 
 
1.   Click on Accounting, click on Inventory, click Vehicle Inventory to add a bill(s) to a vehicle in stock.
      Click on Vehicle Status to add a bill(s) to a vehicle that has been sold. Go to step 2.5
 
 
 
 
 
2.   Click Open Vehicle, double click on desired vehicle to open.    Go to step 4
 
 
 
 
 
  
2.5. Click on Accounting, click Inventory, click Vehicle Status.
 
 
 
 
 
3.   Click on VIN 6, VIN or Stock# to indicate how to search for the vehicle.
      Enter vehicle identifier in empty box. Click Find.
 
 
 
 
 
 
3.5 Click Open Vehicle
 
 
 
4.   Click Add Bill
 
 
 
 
 
5.   Click  on drop down menu to choose AP Account
 
 
 
 
 
 
6.   Click on drop down menu to choose a Vendor. If the desired vendor is not in the list click here for more information Enter or Edit Vendors.
 
 
 
 
 
7.   Click in Ref# box. Type in invoice number or other identifier.  This can be left blank.
 
 
 
 
 
8.   Click in Memo box, type any desired additional information or specifics about the bill.
 
 
 
 
9.   Click drop down menu arrow, choose Bill Date.
      Repeat for Due Date
 
 
 
 
 
 
10.  Description enter item or service that the bill will pay for.
      Quantity will always be one. (if bill is for 4 tires, quantity of 1 and amount will be the total of the tires.
            use the memo box for more detailed information)
     Amount  - enter total amount of bill.  To enter multitple items on one bill click Multiple Bill Items.
 
 
 
 
11.  Go back and click on Purchase tab, note that bill has increased the vehicle cost accordingly.
 
 
 
 
12.  If no further bills to enter click Save & Close
